Albums

Within Kiliman, a collection of assest is called an album. These albums relate properties and rights are associated with these albums. There is also a so-called. Storage bucket on an album. It is important to set up a balanced number of albums during the design. With too few albums you may not be good with the rights, with too many albums you have a lot of management regarding. The rights.

Create and manage albums

In the album list, to the left of the screen, new albums can be created and/or existing albums edited. On the so-called. Badge (the blue plane) indicates how many assets are in an album. If there are 100 or more, 99+ is indicated. When opening the album, it can be seen how many assets are in an album.

Create an album

When creating an album, a wizard opens. In this wizard all data can be entered.
  1. Name and description (speaks for itself)
  2. Policy
    1. Lock Assets: Allows an album to be set up so that all assets cannot be changed or deleted for the given period. This is important for data that needs to be protected. Think of sensitive data, traceability and deadline things such as productions with a tight delivery date. The set time starts from the moment the asset is uploaded to Kiliman. The lock is so strong that no one, neither us nor our cloud provider, can do anything with the files, other than read. This is also extra secure in terms of cybersecurity, hackers can't do anything with these files. 0 days means no lock
    2. Automatically delete assets: Allows files to be automatically deleted after the specified time. This can be useful to keep the systems clean and up-to-date, but also to automatically apply the agreed retention policy and make it transparent.
0 days does not mean automatic removal
  3. Thumbnail and tagset: an image can be uploaded that is shown in the album overview when opening Kiliman. In addition, a Tagset can be added. A tagset is a set of metadata fields that can be filled manually or via an API. This allows relevant data to be linked to an asset that can be searched later. See also the Tagsets chapter.

Edit album

The menu with the albums allows a number of things to be changed and managed:

Change the albumOpen the menu that was also used in the creation. Removal speaks for itself.
Info
Please note that changing the retention period and locking period only affects new assets, the existing assets keep the original configuration.
Album sharing: As with leaflets and assets, I can share the album with users who do not have an account within Kiliman. This has made file sharing very easy. The user gets a link in the email that gives him access to everything that has been shared, including the structure of leaflets. Within sharing, it can be chosen whether the user is entitled to download the originals.

Manage access:Manage access allows groups to be associated with an album. That way, the jusite users also see the right things. As discussed in Roles, the roles within the group are recorded, so this cannot be arranged separately at album level.
