Create a new group
Creating a group for customers in the webshop is as follows:
In the window of groups you will see 3 buttons on the right. Press + to create a new group (with ++ you can also create a new group by means of Copying another group; this can be useful when only details differ that can be adjusted). The following fields are displayed:
Name
The name of the group can be entered here.
May order
Customers in the group can place an order independently. If this is not the case, a supervisor must be appointed. Not being allowed to order actually means that they can prepare the entire order, but that there is another user who gives the final agreement to the order.
May share documents
It is possible to share documents within a group.
By ticking 'May Documents', an orderer can share documents with orderers from the group. After generating a document in the webshop, the orderer will then be asked whether it can be shared within the group.
Supervisor
When the orders need to be approved, one or more users can be selected here to approve.
On the front, this works as follows:
The user, who is not allowed to order, logs in, chooses the item and orders.
Instead of the 'Order' button, there is now the 'Done' button. The supervisor receives an e-mail from the webshop indicating that the user has placed an order.
When the supervisor logs in, he sees the heading 'My orders' 1 above the menu bar for approval.
When the supervisor clicks on this button, he comes into the overview 'My orders'. The orders made by the user have the status 'Ready to order'.
By clicking on 'Definitively order', the order will be approved and shipped.
Access to users
When this option is checked here, the supervisor of the group can log in as a user of the group.
To link the supervisor to the group, the group must also be saved.
On the front, this works as follows:
At the front of the shop is shown in the top right corner of the dropdown menu 'My groups'. When a supervisor navigates to the My Groups page, he/she sees all users in this group and the supervisor can log in as one of them.
Agree on documents
When this is checked, the customer must tick a checkmark that he has viewed the PDF carefully and agrees to the trial again.
May save quotation
When this has been checked, the orderer will be given the opportunity to first request a quote from the shopping cart. The shop holder will then receive an email that a quote has been requested. When the shop holder has given a quote, the orderer will receive an email and can find the order with the price at 'My orders' under the tap 'Offer'. Then the order can be completed.
May submit files later
The orderer is given the opportunity to prepare the order for a Controlboxx product and deliver the file later.
Must submit files before completing the order
When the "May submit files later" option is checked, this option will also become available.
When this option is checked, the orderer cannot complete the order without the delivered file. The orderer will receive a notification in the shop at the shopping cart.
Show delivery date
When it is checked, the delivery date will be displayed in the shop on the product page and in the shopping cart.
Show shipping costs
When it is checked, the shipping costs in the shop will be shown in the shopping cart.
Own archive by shelf
If the Multi Page tool (Plank) is used, an archive per publication or for all publications. If you choose your own archive, each publication on the shelf page in the shop will see the pages that are used for this publication.
Interface
In the case of multiple customers or branches, a different interface can be set up per group. This can be selected here.

Processing profile
Processing profiles are used to customize the order process.
By default, the ordering process consists of the following 5 steps:
Step 1 - overview of the shopping cart
Step 2 - if you have not yet been logged in, you will be asked in step 2
Step 3 - Enter and/or check address details delivery address and billing address
Step 4 - additional control of all data
Step 5 - choose a payment method and complete order
These can be adjusted or skipped by creating a processing profile and linking it to the group here.
Payment method
Check which payment methods apply to your group. The same payment methods must also be set at the country where the customer comes from. See for this theInternationalpage.

External systems
Image bank
By clicking the 'Sync' button, the group is added to Asset Manager as a group. Users within the group are also synchronized.
Prices
Show prices
By ticking 'Show prices' all prices of the products of this group are shown at the front of the shop.
Incl. VAT
This determines whether the displayed price is inclusive or exclusive of VAT.
Maximum Order Amount
This is the amount that users from this group can freely order per order. If the user remains below this amount, the order will automatically be accepted. Is the order higher? Then the order is given the status "Ordered". The manager of the shop can set the status to accepted or cancel the status in the Backoffice at the Orders page.
For example, the maximum order amount can also be used as a kind of threshold to check the outstanding amount when order is ordered on account: the administrator has the possibility to act before an order goes to production.
Another possibility of setting restrictions concerns the order amount can be realized with budgets, although a prepaid balance is assumed here. Look at this

Delivery method
You can choose per group which delivery methods apply to this group. See
Delivery.Catalogues
Here a catalogue, with the products that can be ordered by this group, can be chosen.
If the catalogue is not yet present, it will have to be created by clicking on the 'Catalog management' button.

Note
Note mandatory
This allows you to force your customer to enter a purchase number, for example. In that case, place "Purchase number" in the field below. This is the description in the field to be filled in by the customer.
Email
Email CC (Copy)
It is possible to send an extra mail for the group to several addresses.
A copy of the order email of the order email of the orderer will be sent to the e-mail address.
Email BCC (Blind Copy)
It is possible to send an extra mail for the group to several addresses.
A blind copy of the order email of the orderer will be sent to the e-mail address.
Change or delete a group
Change
By selecting a group and clicking on .. data of the group can be changed.
It is also possible to add users to the group.
At the bottom of the page are 2 tables:
- Users not in Group
- Users in Group
By clicking on a user in the left table, it is added to the right table and belongs to the group.
Users can also be added to a group on the
Customerspage.
Removing
By selecting a group and clicking - a group is deleted.
