Publications

A publication is a variable webshop product from the Generator. These can be business cards or newsletters. The publications can create fields that the user must fill in where restrictions can be given to the fields. Think of format of data such as e-mail addresses and telephone numbers, font and / or size, amount of text, etc.

To create a publication, you go ion de Backoffice to 'Publications'.

Create a new publication

First, create a folder where the publication will be published.
Select the root or, if you want to create a subfolder, the folder you want to add a subfolder to.

Click New Folder and enter a name in the opened field and click Save.


Go to the new folder and select it to create a new publication.

Go to the Publications window and click New.
Now a number of fields will be available that must or can be filled in. The fields marked with an * are required fields.

Name*
Enter the name of a publication here.

Article number
Enter a unique number or name here (may alphanumeric).

Relationship number/Checklist number/Std. Calculation No.
These fields are still for a link with aMiss.

Dpi
If an image list with upload is used in the publication, the images are checked whether the DPI completed here comes from the image with the DPI.

Publication type
Here you can choose from predefined publication types. There is a path on a publication type. This path indicates where the approved PDF should be placed. These paths can be created atTypes of publication.

Template*
Here, a previously created template can be selected that must be associated with this publication. Templates can be managed on theTemplatepage.

Send trial to email in document
If an e-mail address is entered in the publication, the Generator will send an email with the test to this address.

Batch allowed
When checked, there is the additional option "Batch output" on the personalize page of the product. The orderer can upload a batch of data from an Excel or CSV file to generate multiple publications at once.
This can be useful for creating business cards, for example. The data does not all have to be entered separately, but can be filled in one go through a document upload.
When clicking on the "Batch output", the following page opens:


In the first field ('1. Upload file') can be uploaded to a CSV or Excel file. When creating an Excel or CSV file, it is useful for recognizability to use the same name as the web fields.
After clicking on "Upload" will be in the second ('2. Rows of orders") and third field ('3. Check data') the data in the file can be seen. In the second field are the names of the web fields on the left and the names of the columns in the file. The data in the columns can still be moved by dragging the blue planes up or down, should they do not appear to be properly. When clicking on the magnifying glass, it can be viewed how the publication is filled with that data for control. By clicking on "Batch output", the data of the excel is put into publication and created.

Example view
Here you can choose whether the default preview needs to be regenerated. It is used in combination with the data list.

Data list
If data lists have been created on theData listspage, you can choose which data list should be used in this publication.

Alert
'Image', 'Publication Input URL', and 'Allow user upload' are functionalities that have been incorporated into other functionalities of the portal and/or no longer required. In a next version, they will be removed.

PDF Preset name (Low res.)
Enter the name of the preset (joboption) here without the extension (.joboptions).

PDF Preset (Low res.)
Upload the job option (preset) here for the Low res PDF.

PDF Preset name (High res.)
Enter the name of the preset (joboption) here without the extension (.joboptions).

PDF Preset (High res.)
Upload the job option (preset) here for the High res PDF.


The publication has now been created, but still needs to be further set up by setting the publication fields.
When a publication has been created, there are, in addition to creating a new publication, three more options:

Removing
Select a publication that you want to delete, and click Delete to delete an existing publication.

Duplicating
Select a publication that you want to duplicate, and click "Duplicate" to copy an existing publication.

Control
When the publication is finished, it can be checked before it is put online. When clicking on 'Check', a new tab opens with the fields for publication (if they have already been created) and a preview can be generated to check the settings.

Create and manage publication fields

Select the newly created publication and click 'Manage publication fields' at the bottom of the page. The following image is opened:


Under 'Field Species' you can choose from several options:
  1. Text field
  2. RichTextField (RTF)
  3. Phone or fax field
  4. Email field
  5. List field
  6. Image field
Depending on the type chosen, fill-in fields are displayed.

General/recurring fields

Name
Please enter the clearest possible name here for the orderer in the shop. This name will be shown with the product to be made and must give an indication to the orderer what to fill in here.

Prefix
The data entered here will be automatically placed before the text entered by the orderer.Something is only put forward when something is filled in by the orderer, so nothing is filled in, then nothing is placed.

Postfix
The data entered here is automatically placed behind the text entered by the orderer.Something is only put forward when something is filled in by the orderer, so nothing is filled in, then nothing is placed.

Description
The description entered here will be shown in the input field in the shop at publication.

Search/replace
If search and replace labels are used in the template, they can be selected here. ClickHereFor more information about the search/replace fields.

Trim
If you have selected 'Trim', the generated document will leave out the spaces in front and behind the completed text.

Webfield
When 'Webveld' is checked, the field is displayed when creating the document in the portal. If it is unchecked, it is not visible, but it is linked. However, the orderer cannot see or adjust this. Think, for example, of 'Netherlands' that should always be placed under the address of a calling card; the orderer does not see this as a field, but it is put on the calling card.

Mandatory
If 'Required' has been checked, the orderer must fill in something here before he / she can proceed with the order.

Use in the document description
If 'Use in the document description' is checked, the completed text will be sent to My Documents in the webshop.



Other fields depend on the Type Field Type you choose. Below you will find an explanation of this.


Text field



In addition to the general fields, the following fields are available:

Default value
Here you can already place text that is shown in the fill field. The user can change this text or keep it without any changes.

Total length (min. max.)
A minimum and maximum number of punctuation marks can be given to a web field.

Notation method
Here you can choose from different notation methods:
  1. identical - the characters typed by the user are taken over one on one; so without formatting
  2. Small letters - example
  3. Capital letters start - Example
  4. Capital letters - FORBEELD
Number of rules
The number of rules allows the height of a web field to be determined. By default, the field is one line high; the orderer can only enter one line of text (i.e. without enter). When '2' is filled in, the orderer can fill in 2 rules, etc.

RTE (RichTextField)



In addition to the general fields, the following fields are available:

Height
This allows the height 'in pixels' of the web field to be determined.

Colors
Here you indicate which colors from the InDesign Document may be used by the filler.

Styles
If the drawing styles are present in the font family, they can be selected here for use by the filler.



Image lists
This allows image fields to be linked to the RTE field that can be used by an orderer.
Alert
Watch out! An image can only be placed once in a design.
Alert
Watch out! Placing images works based on an existing image field and linked frame. The images should ookDecoratedThey arewithin the publication.


Allow full screen(1)
The orderer will see a button showing the window in the full screen.

Show list options(2)
This makes it possible to list a list in the text. The bullets, and formatting, must be included from the InDesign template.

Show clipboard options(3)
For cutting and pasting text from the frame.

Show Undo and reapply(4)
By ticking this, it is possible to restore an action.

Show font size options(5)
For adjusting font size.

Phone or fax field



In addition to the general fields, the following fields are available:



Country code
Enter a default country code here that must be placed in front of the telephone number.
Read alone
If only reading is checked, the value entered here will only be displayed and cannot be adjusted.

Kennumber
Enter a default number here that must be placed in front of the telephone number.
Read alone
If only reading is checked, the value entered here will only be displayed and cannot be adjusted.
Number
If a dial-out number is used, the first number or the first digits of the number can be filled in here.

Length of known number (min. max.)
Enter the number of numbers that may be used for the key number. For example, mobile (06): minimum 2 and a maximum of 2; or key number for Utrecht (030): minimum 3 and maximum 3.

Total length (min. max.)
Enter the number of digits that may be used for the total number (length 'ken number plus number'). This is usually for the Netherlands for landlines: minimum 10 and a maximum of 10.

Pre-addition (international)
For a bilingual calling card, a second prefix can be chosen. For example: the prefix is "Tphone" in Dutch, then "Phone" can be filled in with the prefix internationally for English.

suffix (international)
For a bilingual calling card, a second suffix can be chosen. For example: Dutch "Home" and in English "Home".

Formatting (national)
Here, a format can be chosen that determines where the space should be placed in the telephone number.
The data formats can be created on theFormatspage.

Formattering (international)
Here, a format can be chosen that determines where the space should be placed in the telephone number. In the case of international numbers, you can also choose when creating the formats to have the '0' in the key number removed automatically.

Use user country code
If an orderer comes from another country, his/her country code will be used in the publication. The country code is selected based on the country in the user's account information.

International representation
The country code will be displayed at publication. This has further affected the publication.

Email field



In addition to the general fields, the following fields are available:

Domain name
If the company has its own domain name, fill it in here. For example, "@isi.nl". The orderer does not have to fill in a domain name; it is placed automatically. It is also not possible to fill in another domain name; it will be filtered out.

Alert
Watch out!Make sure the "domain name"AlwaysStart with a "@" sign, avoiding undesirable behavior.

Check onSpecial punctions
Check if characters are used that should not appear in an email address.

List field



In addition to the general fields, the following fields are available:


Lists
Here it is possible to link a list of functions, for example.The orderer will see a dropdown list from which to choose from.
The available lists and data can be created at theSelection listspage.

Image field



In addition to the general fields, the following fields are available:

Type
Here you can make a link with an additional image bank.

Image lists
Here can theImage listslinked to the web field.
The lists that are violated areAsset manager(image bank) image lists.



User upload allowed
The orderer may upload and place his own images in the publication.

Allow cropping
The orderer may scale and move the image as part of the publication.

Alert
The frame in which the image is placed cannot be moved.

Adjust the order of the web fields

Web fields
By clicking on 'Webfields' at the top right of the screen, a pop-up opens where the order in the publication can be adjusted.
It is also possible to adjust the width of the field. By default, the width is 100%, but 25%, 50%, and 75% can also be chosen.





Establishing the publication

Once the web fields are created, they must be linked to the InDesign template.
All frames (script labels) and styles from the InDesign template are shown here.






Low
All layers from the InDesign template are displayed here.
You can also choose whether it should be taken into account when generating a lowres (LR) and/or highres (HR) PDF.
At a green checkmark, the layer is sent; if there is a red cross, then not.

Page
If the InDesign template consists of several pages, you can choose which page can be set up here.
Here too you can choose whether it should be taken into account when generating an LR or HR PDF.
At a green checkmark, the layer is sent; if there is a red cross, then not.

Framework
All text and illustration frameworks with a script can be selected and set up here.
These frameworks are from the InDesign template. These are all frameworks with a script label; frames without a script label are not taken over.

Framework on low
Here you can see on which layer the text and/or illustration frame is placed in the InDesign template.



Object style
The object styles indicated in the InDesign template can be used in a publication.
If an object style is linked to a frame (script label), it is only applied when the frame is filled.

Vertical alignment
Here you can choose how the text should be aligned in the text frame. At the top ('top'), the center ('center') or below ('bottom').

Fit method
It is possible to use a fit method to fit a text frame from the InDesign template.
When 'fit frame to content' has been chosen, and the text entered by the orderer is too long, it is automatically reduced in steps. When "spacing" is chosen, fill in 'Fit' and 'Puntgr.'The same values for "Min."Max."and "Step." So the minimum fit is '6', the maximum fit '20' and the step '1', please enter '6', '20' and '1' respectively.

In the case of an image field, it can be chosen how the image should be placed in the frame.
Center
The image will be placed centered in the frame.

Fit frame
The size of the image is adjusted to the size of the frame.
Alert
Watch out!
A lying image is pressed together in a standing frame.

Fit frame center
The image is centered and scaled in the frame.
Alert
Watch out!

Fit proportional
The image is placed linearly in the frame.

Fit proportional center
The image is scaled linearly and centered within the frame.

Filter publication fields

When setting up a publication, it can be chosen which type of fields should be shown. Here you can find general fields, such as 'Company' or 'User', but also the 'Publication fields' that have just been created. By selecting a category, the available fields become visible in the Field section.

Field

After choosing a filtering, the fields are shown here. These can then be linked to the previously selected frame (script label) by selecting it and clicking +. It then disappears from this list and becomes visible in the bottom field. To delete a field, select the field and click -.
It is possible to add several fields simultaneously by holding down the [Ctrl] key while selecting.

When the desired fields have been added, other things can be set:

Order
The order is initially determined by the order of add, but it can be adjusted. A field can be placed one or more places up or below. This can be done by selecting the field and clicking on the arrow keys in the bottom left.

Int.
This option is only available for phone number fields.When checked, the established internationalFormatsused.
If not checked, the nationalFormatsused.

Separating sign
This shows the separators created atSeparate signs. The selected separator is placed after entry.

Alinea style
This shows the paragraph styles that are given in the InDesign template are displayed. The desired paragraph style can be linked to the web field.


Character style
Shows the character styles that are given in the InDesign template are displayed. The desired character style can be linked to the web field.

Basic fields



In a publication, self-made fields can be used, but fields can also be placed that extract the data from other places from the Backoffice. For example, company data created on theCompaniespage. In order to generalize the data for various publications, prefix and suffix can also be added to this via the Basic Fields. For example, consider the word "Postbus" as a prefix for Postal Address Line1. When a publication is made with that field, there is always "Postbus" in front of the PO Box number entered at Companies.

Link to company

It is possible to link a publication to a company, branch or department.All data set at the company, branch or department on theCompaniespage can be used in publication.
It is not possible to make a combination of company, branch or department fields. If a company is linked, the fields of a branch and a department cannot be used.
